How to Track Agency Commission for Your Villa Bookings

By villatab · Published · Updated · 5 minute read

For every booking, write down who sent the guest, the agreed commission percentage, how much money each side collected, and what is left to settle. Check the totals once a month and pay or collect the difference.

Why commission goes wrong

Commission goes wrong when it lives in someone's head. The agency says one number, you remember another, and nobody can prove either.

Know who collected the money

There are two common cases. In the first, the guest pays you and you owe the agency its commission. In the second, the guest pays the agency and the agency owes you the booking amount minus its commission. Write down which case each booking is, because the settlement is opposite.

What to record for each booking

  • The agency name and the agency's booking reference.
  • The agreed commission percentage on that booking.
  • The commission amount in rupees.
  • How much was paid, to whom and on what date.

Monthly settlement in four steps

  1. List every booking from the month for one agency.
  2. Add up the commission you owe, and add up money the agency collected for you.
  3. Subtract one from the other.
  4. Pay or collect the difference and note the date and reference.

Keep your own record

Do not rely only on the agency's statement. Match it against your bookings. Differences are easy to settle when you have dates and amounts. They are hard when you have only memories.

Where this connects

Commission is easier to follow when payments are tidy. Read how to take advance payments and keep a record of each one.

How villatab helps

In villatab you add each agency with a default commission percentage. A booking from that agency stores its own commission percentage and amount, and a payment can be marked as collected by the agency. The monthly bookings summary splits direct and agency bookings. See agencies and commission.
