How to Stop Double Bookings at Your Villa or Homestay

By villatab · Published · Updated · 5 minute read

Keep one calendar that everyone checks before saying yes, mark dates the moment a guest shows interest, and let nobody book from memory or from a chat. A system that refuses overlapping dates makes the mistake impossible.

Why double bookings happen

Almost every double booking comes from the same cause: two people said yes to the same dates, and neither could see the other's promise.

At a small villa this is easy. The owner replies on WhatsApp. The manager takes a phone call. An agency sends a guest. Each one checks a different place, such as a notebook, a spreadsheet or their memory.

Five habits that prevent it

  1. Use one calendar. One place, not three. Everyone who can say yes must look there first.
  2. Hold the dates first. When a guest says they want to come, block the dates at once, even before money arrives.
  3. Give every hold an end time. A hold with no end blocks dates for guests who never pay. For example, 24 hours.
  4. Write down every booking in the same place, including phone calls and walk-ins. No booking exists until it is on the calendar.
  5. Do not promise dates from a chat. Check the calendar, then reply.

What to do when a hold runs out

Tell the guest kindly that the dates are released unless the advance arrives. Then free the dates so the next guest can have them. A hold that never ends is the same as a double booking that has not happened yet.

If it already happened

Call the guest who booked second, today. Apologise and offer a clear choice: other dates, another room or villa, or a full refund. Do it before they travel. Then find out which step in your process let it happen and fix that step.

Spreadsheet or app?

A shared spreadsheet works while one person edits it. It breaks when two people edit at once or when someone forgets to update it. An app that checks dates for you removes the human step. Read our comparison of spreadsheets, WhatsApp and villatab for a fair look at both.

How villatab helps

In villatab, a booking holds its dates on the availability calendar. Holds end after the hours you set. The database refuses two bookings for the same unit on the same night, so even a rushed click cannot create a double booking.
